Common questions

What hardware do I need for QR scanning and badge printing? +
Any smartphone or tablet with a camera can scan QR codes through the check-in interface. For badge and sticker printing, any label printer compatible with your network will work — RSVPHost sends the print job automatically on a valid scan. We can advise on specific hardware during onboarding.
Can multiple staff members check in guests simultaneously? +
Yes. Multiple staff devices can run the check-in interface at the same time. Each scan is logged with the staff member's ID (checked_in_by / checked_out_by), so you have a full audit trail of who processed each entry.
How does the raffle ticket system work? +
You set a spend-per-ticket rule (e.g. every $1,000 spent = 1 ticket). Raffle entries can be sourced from event registrations, added manually, or imported via CSV. The system tracks each customer's amount spent, calculates their ticket count, and lets you batch-print physical raffle tickets at any time.
What information is captured per registration? +
Each registration captures: name, company, email, phone, RSVP status (yes/no/maybe), guest count, additional guest details, comments, referring partner, system ID, and IP geo-location (country, state, district, city). All fields are stored securely in your isolated tenant database.
Can I customise the registration form and email templates? +
Yes. Each event has fully editable email templates for confirmations and reminders, including subject lines, body rows, and a "not interested" response template. Badge templates, badge sizes, and reminder schedules are all configurable per event.
How is pricing structured? +
