How it works

A unique QR code for every attendee

When a guest completes their event registration, RSVPHost automatically generates a unique QR code tied to their registration record. This QR code is embedded in their confirmation email and accessible on any device.

  • Unique per-registration QR code — no two guests share the same code
  • Embedded in confirmation email, viewable on mobile or printed
  • Linked to the guest's full registration data in your dashboard
  • Scan marks attendance in real time — visible to all admin devices
  • Prevents duplicate entry from the same QR code
  • Works with check-in kiosk, handheld scanner, or admin mobile device
🎫
Auto-generated on confirm

No manual steps. The moment a registration is confirmed, the system generates and emails the QR pass automatically.

📱
Mobile-first design

Guests can show the QR code directly from their phone's email app. No app download required on the attendee's side.

Real-time validation

Each scan is validated against the live registration database. Already-scanned codes are flagged instantly to prevent tailgating.

📊
Attendance analytics

Your dashboard shows check-in counts, peak entry times, and no-show rates — updated live as scans happen at the door.

FAQ

QR badge questions answered

What if an attendee doesn't have their QR code at the door? +
Admins can look up any guest by name or email from the dashboard or check-in kiosk and manually mark them as attended. Their QR code can also be resent from the dashboard on the spot.
Can the same QR code be scanned twice? +
No. Each QR code can only successfully check in once. A second scan of the same code shows a warning alert on the kiosk screen — your staff is notified immediately.
Does the QR code work if printed on paper? +
Yes. The QR code is a standard format that scans reliably whether shown on a phone screen or printed. Guests who prefer a printed pass can print their confirmation email.
Can I track partial attendance — like sessions within an event? +
RSVPHost's core QR system tracks event-level check-in. Session-level tracking is on the product roadmap for a future release.
